ErgonHQ provides AI workers that perform business tasks for small businesses. This policy explains what we collect, what we do with it, and how you get rid of it. Two principles run through all of it: we never sell your data, and we never use your data or your customers’ data to train generalized AI models.
What we collect
- Account data — your name, business name, email, phone, and billing details (payment cards are handled by Stripe; we never store card numbers).
- Business data you provide — services, hours, pricing, service area, and how you want your workers to behave.
- Operational data — calls, transcripts, messages, appointments, estimates, invoices, reviews, and posts created or handled by the workers you hire.
- Data from services you connect — described below. You choose which, if any.
- Your customers’ contact details — which you provide or which reach us through the tools you connect, so your workers can do the work you assign.
Connected services
Integrations are optional and are authorized by you. We request only the access the features you turn on require, and we use the data only to operate those features for you.
- Jobber — we read clients, requests, quotes, jobs, and invoices so your workers can follow up on unsold estimates, reconnect with customers due for service, and reschedule visits. Where you direct it, we write back — for example adding a note to a quote recording a follow-up we sent — so your office sees the same history we do. We do not modify or delete your Jobber records beyond the actions you configure.
- Google — Calendar to check availability and book, reschedule, and cancel appointments; Search Console to analyze how customers find your website; Google Ads to create and manage campaigns you approve. Google user data is handled in accordance with the Google API Services User Data Policy, including its Limited Use requirements.
- Meta and LinkedIn — to publish the posts you approve to your Facebook Page, Instagram account, or LinkedIn profile, and to run advertising you approve.
- Telephony and email providers — to place and receive calls and messages and to deliver email on your behalf.
You can disconnect any integration at any time from your dashboard; access stops immediately. You may also revoke access from within the provider — for Google, at myaccount.google.com/permissions.
Mobile information & SMS
No mobile information (including phone numbers and SMS opt-in) is sold or shared with third parties or affiliates for their marketing or promotional purposes. Mobile numbers you give us for text messaging are used solely to deliver the appointment, account, and support messages described on our text messaging program page, and are handled by our messaging providers only to transmit those messages. You can opt out at any time by replying STOP.
How we use it
To operate your AI workforce; to communicate on your behalf with the people you direct us to contact; to process billing; to keep an auditable record of what each worker did and why; to secure the Service and prevent abuse; and to improve the Service in aggregate. AI models process your data to perform the tasks you assign — our model providers act as processors under contract and do not use your data to train their models.
Who we share it with
We do not sell your data or share it for anyone else’s marketing. We share it only with service providers who process it on our behalf — hosting and database infrastructure, AI model providers, telephony and email delivery, and Stripe for payments — and where required by law or to protect rights and safety. If the business is ever acquired, data may transfer as part of that transaction, subject to this policy.
Retention and deletion
We keep your data while your account is active and for as long as needed to run the Service. Data pulled from a connected service is deleted when you disconnect it and request removal. You may request export or deletion of your data at any time by emailing support@pixelforgelabs.co; we act on verified requests within 30 days, except where we must retain records for legal, tax, or fraud-prevention reasons.
Security
Data is encrypted in transit. Credentials and access tokens for connected services are encrypted at rest, access is scoped to your organization, and each worker can reach only the data its role requires. No system is perfectly secure, but we design for the failure modes that matter: least privilege, auditable actions, and human approval for consequential steps.
Government and law enforcement requests
Occasionally a company in our position receives a demand from a public authority for user data. We would rather tell you now how we handle one than improvise later, so the following is our standing policy.
- We review every request for legal validity before responding. A request must come from an authority with jurisdiction over us, follow the correct legal process, and be specific about what it seeks. We do not treat an informal request — an email, a phone call, a letter without process — as compelling disclosure.
- We challenge requests we consider unlawful, overbroad, or improperly served, and we will seek to narrow or quash them, including with counsel where the matter warrants it.
- We disclose the minimum necessary. Where a request can be satisfied with less data than it asks for, we produce only what is legally required, and we do not volunteer adjacent records because they happen to be convenient to hand over.
- We document every request — who made it, what it sought, what legal process accompanied it, our reasoning, who was involved in the decision, and exactly what was disclosed — and retain that record.
- We notify you when a request concerns your account, unless we are legally prohibited from doing so or there is a genuine risk to someone’s safety. Where a gag order applies, we will tell you once it lapses.
To date we have received no national security requests and have disclosed no customer data to any public authority.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal data, and to object to certain processing. Email us and we will honor them. We do not knowingly collect data from children under 13.
Changes
We may update this policy; material changes will be posted here with a new date.
